Welcome to the registration form for the ARC Centre of Excellence in Synthetic Biology Annual Conference 2026.

COMPLETING YOUR REGISTRATION

• All fields marked with an asterisk (*) are mandatory.
• Do not use upper case, please complete the form in title case i.e. John Smith.
• When typing phone numbers include the country code, for example +61 412 XXX XXX.
• Please enter your first and last name as per your photo ID to ensure bookings are made correctly.

CANCELLATION POLICY

All cancellation requests must be submitted in writing to coesbconference@ewm.com.au. If you need to discuss circumstances before cancellation, please contact CoESB COO, J-L Heylen at jl.heylen@mq.edu.au.

• You, or your node, will not be charged for any cancellation or withdrawal from the conference before Friday 23 October 2026.
• Between Saturday 24 October - Friday 13 November 2026 you, or your node, will be required to pay 50% of any costs incurred by CoESB for accommodation and/or flights.
• Any cancellations made from Saturday 14 November 2026 onwards or a failure to show up at the conference without cancelling your registration will need to be 100% supported by you, or your node – as CoESB will be charged for all accommodation and/or flights after this point.

Please ensure that you have discussed your attendance with your node administrator, CI or AI.
'EMCR' is defined as students, early or mid-career researchers who are not CIs or AIs. Before any accommodation or flight bookings are made please see the conference funding policy for how bookings must be made. NOTE: flight bookings CANNOT be reimbursed.

Students, postdocs and professional staff must share accommodation unless permission from the COO has been granted due to limited room availability.

CoESB Operations funding has an Equity and Inclusion fund to support centre members who require extra travel/accommodation support. More details on this is outlined in the conference funding policy.

Central operations funding will support airport transfers, and all programmed conference activities such as scheduled dinners, group activities, morning and afternoon teas and lunches. Breakfast is included in the accommodation costs.

AIs are not eligible to receive funding from the ARC, so they must cover attendance costs (flights and accommodation) for themselves and their group members.

Attendees are responsible for their own dinner cost on Wednesday 9 December and costs relating to accommodation incidentals (e.g. mini bar, day spa) and any hotel room damage.

AIs are not eligible to receive funding from the ARC, so they must cover flights and accommodation for themselves and their group members.

Accommodation for AIs can be booked through this registration form. Accommodation preferences are based on availability. Once registrations close, AIs will be contacted to confirm their accommodation requests and make payment to EWM.

Flights and accommodation are not included in your registration package and are at your own arrangement.

Sponsors will be allocated complimentary attendee registrations as per their sponsorship agreement. Additional attendees will be charged at $2,000.00 per person.

Industry Representatives / Partner Investigators registrations will be reviewed and complimentary attendance will be allocated in accordance with ARC contracts. Additional attendees will be charged at $2,000.00 per person.

Where applicable, you will be sent an invoice for payment after your registration has been processed. You will have the option to pay via direct deposit or secure credit card payment.

Attendance to the Welcome Dinner and Gala Dinner are included with your registration. For catering purposes, we ask that you indicate your attendance at each function.

Coach transfers to and from the Rydges Hunter Valley will be available.

If you would like a transfer, please ensure you allow plenty of time to arrive at the designated meeting point (location and map will be available in the Conference App). If you are planning on taking a transfer from the airport, please ensure you arrange your flights to align with the times provided below and allow plenty of time to collect your luggage.

Coach transfers are complimentary for all attendees and their partners/children who are travelling with them. Please indicate if you would like to be included on the transfers or if you will make your own transport arrangements to/from Rydges Hunter Valley. Complimentary parking is available onsite. If you are driving, the Centre strongly encourages carpooling with other attendees.

Accommodation will be provided at the Rydges Hunter Valley. Please note that room preferences cannot be selected during registration. Allocations will be finalised after registrations close. Due to limited availability, students, postdocs, and professional staff are required to share rooms unless prior approval for a single room has been granted by the COO.

CREDIT CARD DETAILS & PAYMENT
To reserve your accommodation, you will need to provide your credit/debit card details. These will be stored securely and will be held as a guarantee for your booking and for any incidental charges (eg. room service, mini bar, laundry etc). Your accommodation costs will NOT be charged to the card you provide. Should you need to cancel your accommodation for reasons outside of your control less than 30 days prior to your arrival, please get in contact with your Node Administrator as soon as possible.

ROOM SHARING
Each person must complete an accommodation booking and credit card guarantee below. Please note your room share partner in the space provided below. If you do not make a request you will be matched with someone at the organisers discretion.

If you are twin sharing with a colleague, each person must complete an accommodation booking and credit card guarantee below. Please note your room share partner in the space provided below.

Twin rooms* (rate includes breakfast for 2): from $240.00 incl. GST

*If we are unable to allocate you to a twin room with a share partner, your accommodation will be upgraded to a single room at the standard rate of $210.00 per night. We will be in contact with you to notify you before proceeding to confirm any booking with the hotel.

FLIGHTS

Flights are not included in your registration package. If you would like assistance from EWM to book your flight, please contact coesbconference@ewm.com.au with your requirements. Please note a booking fee will apply for any flight bookings made through EWM

Flights are NOT included in your registration. Please see the conference funding policy for how flight bookings must be made. Flight bookings paid by attendees CANNOT be reimbursed.

If your flight is to be arranged by the MQ Central Node, please contact Thi Huynh at thi.huynh@mq.edu.au who will be responsible for liaising with you and booking your flights. This includes keynote speakers and Advisory Board Members.

If your flight is to be paid by your University or Organisation, please contact your Node Administrator for further advice and assistance.

If you are unsure who is paying for your flights, please clarify with your Node Administrator or Jenny Morcom at jenny.morcom@mq.edu.au.

If you do not fall into the above categories and would like assistance from EWM to book your flight, please contact coesbconference@ewm.com.au with your requirements. Please note a booking fee will apply for any flight bookings made through EWM.

Optional group activities are scheduled for Thursday, 10 December 2026, from 2:30 PM to 5:30 PM. Please indicate your first and second preference for the activity you would like to participate in. Alternatively, you may select 'Time at Leisure' if you do not wish to join a group activity.

Please note: your preferred activity may be cancelled if minimum numbers are not reached.

EBIKE TOUR

An electronic bike tour in the Hunter Valley is the best way to experience the serenity of the beautiful winery views and some of the best produce the region has to offer.

For those seeking a more active escape, enjoy the tennis courts, fitness facilities, and scenic walking paths throughout the resort grounds. Families are well catered for, with a dedicated water park, playground, and a range of fun recreational activities available for all ages.
